We are currently looking for a collaborative HR Assistant to join the OL31 railway project in Vagnhärad. This is a role within one of Sweden's most important infrastructure projects, where safety, coordination and collaboration are critical to success.

About the Project

The OL31 Project forms part of the Ostlänken programme, one of Sweden's largest and most important railway infrastructure investments. Ostlänken is a new approximately 160-kilometre double-track railway connecting Järna and Linköping, designed to increase capacity, improve regional connectivity and support sustainable transport across Sweden.

The project involves complex civil engineering works, including tunnels, bridges, earthworks and rail infrastructure. Working on OL31 offers the opportunity to contribute to a landmark infrastructure programme while supporting the recruitment and development of a diverse, international project organization

About the Role

We are currently looking for a HR Assistant to join the OL31 railway project in Vagnhärad.

As an HR Assistant, you will support the HR function and managers with a wide range of administrative and operational HR tasks. This role is ideal for someone who is communicative, structured, service-minded, and enjoys working in a fast-paced project environment where attention to detail and good organization are essential.

You will play an important role in supporting onboarding activities, personnel administration, recruitment coordination, time reporting processes, and various employee-related matters across the project organization.

Key Responsibilities

Support the HR department with daily administrative and operational HR activities.

Maintain and update employee information and personnel records in various systems.

Support recruitment activities, including interview scheduling, candidate communication, onboarding coordination, and collection of employment documentation.

Assist with onboarding and offboarding processes.

Act as a contact person for apartment providers and support accommodation administration for project employees.

Support the administration and coordination of company vehicles and employee benefits.

Collect, follow up, and compile time reporting documentation for the project.

Manage ID06 card applications and follow up throughout the process.

Provide administrative support to the HR team and Office Manager.

Support and contribute to maintaining efficient processes and good internal service.

Your Profile

Mandatory Requirements

Previous experience in administrative, HR Assistant, Coordinator, Recruitment, Personnel Administration, or support role.

Experience working with onboarding processes, employee documentation, and general administrative follow-up.

Strong administrative and organizational skills with excellent attention to detail.

Good understanding of administrative processes and the importance of structure, accuracy, and confidentiality.

Strong communication and interpersonal skills.

Good knowledge of Microsoft Office, particularly Outlook, Excel, Word, and Teams.

Comfortable working with different digital systems, time reporting systems, and new technologies.

Ability to manage multiple tasks and priorities simultaneously.

Service-oriented mindset and ability to work independently.

Full-time availability on site in Vagnhärad.

Preferred Qualifications

Experience working in an international project or matrix organization.

Experience supporting recruitment activities and onboarding of new employees.

Experience with personnel administration and HR-related documentation.

Familiarity with ID06 administration and Swedish construction industry requirements.

Experience with time reporting systems and administrative follow-up within project-based organizations.

Experience from construction, infrastructure, engineering, or similar industries is considered an advantage.

Language Requirements

Fluent Swedish, preferably native-level or equivalent proficiency.

Professional English language skills, both written and spoken.
